Congregation Meeting Minutes
September 11, 2007


President Neal Sanders called the meeting to order at 7:00p.m.

 

Pastor Timmermann opened the meeting with a devotion (including remarks of the September 11th tragedy) and prayer.

 

Lois Brauer moved to dispense with the reading of the minutes from the May 8th and August 5th Congregation Meetings.  Joanne Wolfgram seconded the motion, and it was passed unanimously.

 

President Neal Sanders’ Comments

Janet McCarthy has agreed to serve as the 2007 Christmas decorating chairman.

 

There is still an opening for one more member to join the Board of Stewardship.

 

Treasurer’s Report

President Sanders discussed the Treasurer’s Report.  It was approved as presented.

 

Board of Lay Ministry-Carl Bettin

Lyndsey Otto and Cindy Simon have been hired as part time organists.

 

There is a shortfall of $1,060.42 to cover the expenses of the new hymnals and accompanying hymnal materials.  The Board of Stewardship will work to solve this need.

 

The order for the new organ was placed on August 30th.  The scheduled date of delivery for the organ will be November 1st.  The board will send out letters to the members of the Organ Committee in appreciation of their hard work.

 

In upcoming meetings, the board will be discussing the 2008 budget.

 

Janet McCarthy asked what the total cost of the hymnal project was, and how much of that cost has been covered by contributions.  Carl noted that the total cost was $4,570.89, and $3,510.47 has been contributed.

 

Ruth Reitz asked if there are plans for the disposition of the old hymnals.  Carl noted that the board has not discussed any plans.  President Sanders added that the Synod prefers that we not give them to another congregation since they would like all congregations to buy and use the new hymnal.

 

President Sanders added that the sales contract for the new organ calls for it to be ready for public use no later than November 10th.

 

 

Board of Stewardship-Bill Arps

Pledges for the new organ total $25,000 and $17,400 of those pledges has been received.  Only 17 families have made pledges.  The total amount received includes designated memorials.

 

President Sanders added that the final 10% payment ($5,280.00) is due to the Rogers Company when our consultant, Scott Reidel, is satisfied with the organ and its installation.

 

Board of Missions-Joanne Wolfgram

The benevolence for September is Lutheran Bible Translators.  A speaker from that group will be making a presentation during the Bible Class hour on Sunday, September 23rd.  The benevolence for October is LC-MS World Relief.  On Saturday, October 13th, and Sunday, October 14th, the Rev. Paul Kienker will speak to this benevolence during all services and during the Bible Class hour.  Everyone is urged to attend these presentations to learn more about these two benevolences.

 

The board is preparing a list of benevolences for 2008.  Anyone who has suggestions for benevolences should contact a member of the board.

 

A large chest has been placed in the narthex where donations of new warm clothing can be placed.  This clothing will be given to the African mission church that we gave warm things to last winter.  This clothing will be given to them before it turns cold.  Donations may be placed in the chest through September.

 

Winter accessories such as mittens and scarves will be collected in December and sent to Pastor Baker’s mission in Kazakhstan.

 

On September 27th, our congregation is responsible for clean up at the Community Meal Program.  Members of the Youth Group will be assisting.  On November 8th, we will be responsible for setting up and providing desserts.  Please watch for the purple inserts in the worship folders, and volunteer as you are able.

 

Board of Church Properties-Reinhard Dahm

Call John Mueller if you would like to volunteer to be responsible for shoveling snow on one day of the week.  Call soon to reserve your day of choice.

 

There is a need for a new wheelchair or new wheels for our old chair.  Let the board know if you can help.  Wayne Sedgwick is working on this project.

 

The board is working with the Rogers Organ Company to make sure that everything is ready for the delivery and set up of the new organ.  There will be a painting day to touch up the paint on the exterior of the building where the paint is chipping and peeling.  The outdoor service schedule signs are being made more visible.

 

The board is constantly repairing and fixing items to keep the property in good repair.  If you see something that needs attention, please let a member of the board know about it.

 

Anita Doubek complimented the board and the Garden Club on the great condition of the building and grounds.  Many new members have commented on how nice everything is kept.

 

Board of Christian Education-Rose Bayer

Vacation Bible School was held August 20th-24th.  There were 18 children who attended including 6 who were not members of Prince of Peace.  Brian Gaschk was the director and has agreed to direct Vacation Bible School again next year.

 

Sunday School started last Sunday, September 9th.  During the 10:30 service all the children from Preschool through 6th grade received age appropriate Bibles from the church.  It is the intention of the Board of Education to present the PreK children, the third grade children, and children who are new to our Sunday School with age appropriate Bibles at the beginning of each Sunday School year.  The Board feels that it is important for the children to start to learn how to use their Bibles and become familiar with the stories more often than just one time a week in Sunday School.  Parents are encouraged to read the Bibles with their children. 

 

There is still a need for a teacher to teach or team teach the 3rd and 4th grade classroom.

 

The Little Lambs will once again be distributed in early November.  Please watch to sign up to be a buddy to a child in Sunday School.  This is a great experience for both parties involved.

 

The Board of Education is looking for help in providing a nursery during the 10:30 service for parents with younger children.  If anyone is interested in helping, please contact Becky Blagdon.

 

The Board of Education along with the Board of Fellowship is planning a Reformation Potluck.  It will be held after the 10:30 service on October 28th.  A Packer game will not interfere with the potluck as they are scheduled to play on Monday night.

 

Pastor Timmermann asked Rose to explain the meaning of team teaching.  Rose noted that it means a shared position such as teaching on alternate Sundays, alternate months or as the teachers decide.

 

Board of Young People’s Work-Rose Bayer

Youth group director, Melissa Kittredge, has recently started a new career as a registered nurse and will be very busy for the next three months because of training in her new position.  She has decided to remain director, but would like everyone to know that there will be a probable decrease in youth group activities during that time.  She would like to thank everyone for their understanding during this “bump in our road”.

 

The youth had a fun filled day of fellowship at a summer cookout held at the Wagner’s home in August.  They participated in volleyball, relay races, roasting marshmallows, and competing in a Twinkie eating contest!

 

As of now, four members of the Youth Group have volunteered to help with clean up at the community meal on September 27th.

 

Upcoming plans for the Youth Group include visiting a corn maze, organizing a charitable event for the Christmas season such as donating to Toys for Tots or sending gifts to a local nursing home, and possibly representing Prince of Peace in the Christmas Parade.

 

The Youth Group is scheduled to meet the first Thursday of each month.

 

Board of Evangelism-Betty Dahm

There was a recent canvass of five new subdivisions in our area.  A total of 400 brochures were distributed.  The brochures contained information about church activities and the times of our church services.

 

During a church service in July, leaflets were passed out to the children telling them of the love of Jesus.

 

Congregation members should feel free to take any of the brochures that are in the tract rack in the church entryway. 

 

Board members continue to visit church visitors.  They also continue to monitor the Cradle Roll as well as the Greeter Program.  The Prayer Chain has been very active.  A reception for six new members will be held on September 23rd.

 

As part of the Ablaze effort, the board will be preparing inserts for the bulletins on September 22nd-23rd.  The inserts will give parishioners ideas to help them invite others to our services.

 

Board of Parish Fellowship-Betty Dahm

The board will be working with the Board of Education on a Reformation Pot Luck Supper that will be held on Sunday, October 28th after the late service.  Sign up sheets will be posted.  Everyone should be sure to sign up.

 

Simple suppers will be held before Advent services on December 5th, 12th, and 19th.  Boards will be encouraged to serve.

 

The board will serve refreshments at the tree trimming in December and at the Epiphany Service (tree burning) in January.

 

Sign up sheets for after service coffees are posted.  The sheets include calendar dates from now till the end of the year.  Please sign up to serve.  It’s easy and fun.

Pictorial Directory Committee-Scott Weiss

Olan Mills Studio took pictures on September 4th, 5th, and 6th.  Those who did not have their pictures taken may still sign up to have them taken at another church.  Please see Scott to make arrangements.  His telephone number is posted on the kiosk.  We need to submit pictures of the church and church activities to the company so that they can be included in the directory.  Olan Mills will put the directory together for us, or someone from our church can do it if they are interested.  The software to do this project has been provided by the company.  Olan Mills is also going to do a welcome pamphlet for our church.  We need to submit photographs for that as well.

 

Anita Doubek asked how many of our members had their pictures taken.  Scott noted that the number of photo appointments was approximately 96.  He also noted that any positive or negative feedback is appreciated.

 

Garden Club-Janet McCarthy

This has not been an easy year for our gardens as first we had no rain and then we had too much.  A thank you was given to all who watered, weeded and deadheaded the gardens this season. 

 

A work night was held to do weeding as well as to trim trees and shrubs.  Even though it was ninety degrees that evening, some very faithful people came to help.  All of the projects were completed.

 

The fundraiser of selling $10 certificates for Shady Lane Nursery earned enough to pay for the garlands and wreaths for the upcoming Christmas season.

 

A Labyrinth Garden is being considered as a possible new project for our church.  Walking a labyrinth is to walk a spiritual journey-a place to meditate.  It is a way to silence the noise and turmoil of our busy lives and to concentrate on walking with God.  The Board of Church Properties will be considering this project.  It might possibly be done in conjunction with an Eagle Project from our Boy Scout Troop.  The labyrinth would probably be open to the community.  Methods of construction vary, so labyrinths from surrounding churches will be studied.  Questions or comments about this project should be addressed to Nancy Brandon, John Mueller, or Janet McCarthy.

 

Men’s Dartball Team-Bill Arps

The dartball season began last week and will continue into March.  The team plays on Wednesday evenings.   Practice is from 7:30-8:00, and games are at 8:00.   More members are needed.

 

Chuck Rades mentioned that he enjoys the socialization between the members of the team and the members from other churches.  He added that being on the team is a lot of fun.

 

 

Preschool Report-Rose Bayer

The 2007-2008 school year began on Wednesday, September 5th with a Family Chapel Service led by Pastor Timmermann.  The 3-year-old class began its first day of classes on Thursday, and the 4-year-olds met on Friday.  There are 4 students in each class.  All children in the 4-year-old class have returned from last year.  Three of the children in the 3-year-old class are siblings of former students.  Three families who had children in the preschool 2 years ago referred the other child to our program.  There is a hope of adding 1 or 2 more students to the 3-year-old class in the near future when potty-training issues have been resolved.

 

The Preschool will continue to use the Voyages Religion Curriculum from Concordia Publishing House for Jesus Time.  Pastor Timmermann will visit the classroom on Wednesdays and Thursdays to assist in Christian education.  Chapel services will also be held at various times throughout the school year.  Some of these will include the families of the students.

 

Throughout the year, the children will keep busy with reading, math, science, and social studies lessons, as well as art activities music and play time.  Improving social and emotional skills like sharing, cooperation, manners, self-control, and learning to handle disappointment will also be a focus.

 

Future events for the remainder of the calendar year include Parent/Teacher Conferences in November, parties for Halloween and Christmas, as well as field trips to the fire station, pumpkin farm, and the play “The Gingerbread Man”.

 

A thank you was given for continued support of the preschool.  Please continue to spread the word about our program to family, friends, and neighbors.  Visitors are always welcome and enrollment is open throughout the school year.

 

Pastor Timmermann added that even though the Menomonee Falls School District now has a 4-year-old Kindergarten, our 4-year-old class is the same size as last year’s class.

Parts of the new Lutheran Service Book have been introduced over the last several months.   The choir will be assisting as additional portions of the book are introduced.  The hymnal contains 5 communion liturgies, and there are a number of variations for each service that can be used from season to season and from time to time as desired.  It is hoped that members have found the layout of the book easy to use.  Please inform the Pastor if you have any difficulties with the book so that these difficulties may be addressed.  The goal is to have people comfortably using the hymnal as we worship and praise the Lord of heaven and earth.

 

On Sunday, September 23rd, during the Adult Bible Class, a member of the Board of Directors of Lutheran Bible Translators will be with us.  We will have the opportunity to hear how translating the Scriptures into various languages can be such a great method of outreach.

 

At all of the worship services on Saturday October13th and Sunday October 14th, Pastor Paul Kienker from LCMS World Relief will be preaching and leading our adult Bible Class.  We will be able to hear how our support of LCMS World Relief reaches out in Christ’s name to be helpful in so many ways.

New Business

The recording secretary moved and Betty Dahm seconded that Bill Arps be appointed director of the Board of Stewardship for the duration of the 2007-2008 term of office.  The question was called, and the motion was unanimously passed.

 

The recording secretary moved and Carl Bettin seconded that Rose Bayer be appointed director of the Board of Christian Education for the duration of the 2007-2008 term of office.  The question was called, and the motion was unanimously passed.

 

The recording secretary moved and Scott Weiss seconded that not more than $14,329 be borrowed from in-house funds and accounts to pay for the balance due on the new organ.  The treasurer, in consultation with the Board of Stewardship, shall determine which in-house funds and accounts are to be borrowed from, and the amount from each.  These loans shall be the first repaid from the money raised by the New Organ Fund Drive.  President Sanders discussed the motion.  The question was called, and the motion was unanimously passed.

 

Other Business

Carl Bettin encouraged our congregation to support the Youth Group’s possible entry into this year’s Christmas Parade.

 

Scott Weiss thanked Barb and Wayne Sedgwick and Bill and Jean Arps for helping to host during the days when the pictures were taken for the pictorial directory.

 

Carl Bettin moved and O.B. Chandler seconded that the meeting be closed.  The motion was approved.  The meeting adjourned at 8:10p.m.

 

Pastor Timmermann closed with prayer, and then led the members in the Lord’s Prayer.
